Small Square Municipal Government Revenue Stream Analysis and Integration

PROJECT PURPOSE
The purpose of this project is to streamline cash handling and reduce both human and system errors through the integration of Corporate Enterprise Systems and the creation of single data sources. This streamlining will significantly reduce the time and effort for processing payments as well as create opportunities for delivery of services via the internet and other innovative means.

AULD & COMPANY’S ROLE
Provide business analysis and project management expertise to identify current issues and develop appropriate redesign to address existing concerns. Auld & Company will provide project and change management leadership and help to ensure clear communication of requirements from the business to the supporting technology group. In addition, Auld & Company will support the communication activities with affected staff throughout the project and liaise with the IT project manager.

BPM FOCUS
Auld & Company conducted analysis related to the initial project, identifying the need for an integrated approach. Auld & Company assisted the project manager by providing portfolio management methodologies, tools and techniques. In addition, Auld & Company performed reengineering of business processes in conjunction with the client’s IT group. Auld & Company also focused on the associated change management by providing the tools conducive to a successful transition.

PROJECT RESULTS
The analysis for this project was completed in 2004. In 2005, a comprehensive policy and procedure review took place which led to the development of a new manual for the Division’s office within the Business Unit. The larger scale project for systems integration is currently underway.


Small Square Field Staff Deployment Initiative

PROJECT PURPOSE
To deploy 150 field staff with retrofitted fleet vehicles (GPS, laptops, printers) thereby facilitating a ‘mobile office’ environment. The goal of this mobilization effort is to relocate field staff in close proximity to their operational zone(s) in order to improve operational efficiencies and enhance customer service.

AULD & COMPANY’S ROLE
Auld & Company provided analytical and project management expertise during all stages of the mobilization initiative. These stages include the rollout of fleet vehicles, implementation of new technology for performing daily functions, and the relocation of field staff to depot locations. In addition, Auld & Company supported all of the communication strategies and change management requirements for deploying approximately half of all field staff to depot locations.

BPM FOCUS
Auld & Company analyzed current business processes and suggested an appropriate redesign to accommodate the mobilization effort. In addition, Auld & Company assisted management and staff with the change management associated with the initiative.

PROJECT RESULTS
The vast majority of the business area’s field staff were successfully mobilized, thereby improving customer service, operational efficiencies and effectiveness. Successful communication strategies allowed for clear, concise and consistent messaging to field staff and the business area as a whole.
